Documentation guidelines

To help us reduce documentation errors, I would like to take this opportunity to reissue our communication regarding the documentation guidelines as set out by Ofgem.
Ofgem has included their documentation guidelines within the Delivery guidance (Version 1.7). This guidance now replaces the Quality of Documentation Guide and ECO Digital Software Guidelines. From 2nd August 2021 onwards, measures where the associated documentation does not meet these standards will be at risk of rejection.

Key areas I would like to draw your attention to are:
- Signatures and dates must only be used where they are embedded/consistent in the documentation. Wet signatures must be applied with a pen and electronic signatures preferably with a stylus, though use of a finger is also acceptable. Signatures must not be copied and pasted.
- Survey and installation documents must be completed on site by an appropriately qualified person.
If you are currently using digital software to collect documentation, please review the ‘Digital software use’ section of the guidance.
In April last year Ofgem also provided the below guidance relating to images:
“Concerns have been brought to the attention of Ofgem whereby images being provided as evidence to suppliers for measure submission are being misrepresented. It is suspected images are having information such as their date / time stamps and geo-tags edited to show false information and that this could be taking place when images have already been uploaded to software platforms used to support measure notification.
Images used as evidence for measure delivery should retain accurate information and not have details tampered with. We expect all members of the ECO industry to remain vigilant against this kind of behaviour and report any concerns to Ofgem. If such activity is uncovered, measures could face rejection.”
